Terms and Conditions

Welcome to Nature Excursion! These terms and conditions (“Terms”) govern your use of our services, including booking and participating in our trekking, tour, climbing, or any outdoor activities in Nepal. We have a very clear policy with no hidden clauses or charges. You will be pre-informed if the trip/service incurs any additional charge and provided the option to accept or reject it.

By using our services, you agree to be bound by these Terms and our Privacy Policy. This document includes information on our booking confirmation requirements, payment and refund policies, cancellation policies, and more.

Payment Process

We accept booking deposits by bank transfer or Credit/Debit Card (MasterCard, American Express, Visa, Union Pay, and JCP).

(1) Payment by Credit Card and Debit Card (Union Pay, Visa, American Express, MasterCard, and JCP):

If you want to make the payment through the Debit Card (Union Pay, Visa, American Express, MasterCard, and JCP), then fill in all the details with your Debit Card information and signature (same as in your passport). Once you are done completing the form, email it to us.

If you want to make the payment through a credit card, you will be charged by ABC Bank on behalf of Nature Excursion.

*Note: There will be an extra 4% charge when you make the payment through a credit card.

The company will not be responsible for any losses or delays that may occur during the transfer process. It is possible that the amount of money received by us may be less than the stated amount due to issues with mediator banks or other circumstances. In the event that this occurs, you will be required to pay the remaining balance upon arrival in Kathmandu.

After making the deposit for the booking fee, please email us the bank reference number or a copy of the remittance slips. It is possible that the bank may forward the money under a different name. By providing us with the reference number or remittance slips and the sender's details, it will be easier for us to confirm the transaction.

(3) Final Payment/Acceptance of Booking/Client Details:

You can make the final payment after you arrive in Nepal (before the commencement of the trip). We accept bank transfers, cash, or credit or debit cards (American Express, MasterCard, Union Pay, Visa, and JCP).

*Note: You may get charged 4% extra when the payment is made by card.

Booking Policy

To reserve your spot for one of our trips, you must fill out and submit the booking form available on our website or through email. Once you submit the form, you will be asked to make a deposit to secure your booking. The amount of the deposit will depend on the specific trip you have chosen, as well as its duration.

The remaining balance of the trip cost must be paid in full before the start of the trip. Failure to pay the balance by the due date may result in the cancellation of your booking and the forfeiture of your deposit. We strongly recommend that you make payment on time to avoid any inconvenience or disappointment

Below is the term of payment:

i. For the booking confirmation, you have to pay 20% of the total cost of the package in advance.
ii. The rest, 80% of the final payment, you can make upon arriving in Nepal (before the beginning of the trip).

Documents for Booking

We will need the following documents to obtain the mandatory permits for the venture:.

i. A scanned copy of your Passport
ii. passport-size photo in jpeg format (proper for printing)

*Note:

  • Any failure in payment on time will not enforce Nature Excursion to provide the services as per the booking agreement between the Client and the Company.
  • If you are booking a trip with short notice (within 10–15 days of the departure date), you will be required to pay the full cost of the package upfront. Please note that some of our trips do not accept last-minute bookings.

Amendments

If you need to make any changes to your trip, you must notify us in writing at least two weeks prior to the start of your journey. It's important to note that if any permits, insurance policies, or flight tickets have already been issued and cannot be refunded or canceled, you will be responsible for covering the associated costs. In some cases, this may result in additional fees or charges that you'll need to pay.

Additionally, please be aware that you may also be responsible for any costs incurred as a result of canceled domestic airfares or transportation as per the itinerary of the package that we have purchased on your behalf. We recommend that you carefully review your travel insurance policy and ensure that you have adequate coverage for unforeseen changes or cancellations.

Cancellation Policy

If cancellation is done by the Client:

If you need to cancel your trip, you must notify us in writing and receive approval from our company. We cannot accept cancellation requests made verbally or through other means. Your cancellation request will be deemed effective on the date that we receive it or that it is confirmed by our representatives.

Please note that if you do need to cancel your trip, there may be applicable cancellation charges that you will be responsible for paying. The specific charges and fees will depend on the timing of your cancellation as well as the type of trip you have booked.

We will do our best to minimize any costs or fees associated with your cancellation, but we cannot guarantee that all expenses can be waived.

The cancellation charges are executed hereafter as a percentage of the total tour price:

i. Canceling 45 days or more before departure: 15% of the full payment will be deducted.
ii. Canceling 44–30 days before departure: 30% of the full payment will be deducted.
iii. Canceling less than 29–15 days before departure: 50% of the full payment will be deducted.
iv. Canceling less than 15–7 days before departure: 65% of the full payment will be deducted.
v. Canceling less than 7 days before departure: 100% of the full payment will be deducted.

*Note -

  • For the best return, the Client is advised to get cancellation insurance at the time of the booking.
  • If you voluntarily leave the trip for any reason after the trip has begun, then no refunds will be made by the Company. No refunds will be made for any transport, sightseeing, accommodation, meals, or services not utilized.

If cancellation is done by the Company:

At times, circumstances beyond our control may arise that can impact the safety and feasibility of a trip. These circumstances may include flight cancellations, political instability, natural disasters, quarantine measures, illness, war, industrial action, government intervention, adverse weather conditions, or other emergencies that are beyond the control of our company.

If we need to cancel a trip due to unforeseen circumstances, we will make every effort to inform you as soon as possible. In such cases, we will offer you the option of a full refund or the opportunity to transfer your booking to another trip. We understand that these situations can be disruptive and frustrating, and we will do our best to minimize any inconvenience to you.

*Note: Please note that alterations to a trip do not include changes such as a change of airline carrier, flight schedules, or itineraries, as long as the departure and arrival dates remain unchanged. Other changes that do not constitute significant alterations include the substitution of a vessel, modifications to itineraries, or changes in cabin category or hotel accommodation, as long as the substitute is of the same category.

However, if significant alterations are required for your trip, we will make every effort to notify you as soon as possible. In such cases, we will offer you the option of a full refund or the opportunity to transfer your booking to another trip.

It's important to note that our company cannot be held responsible for any additional expenses or damages that may arise as a result of your booking, such as non-refundable flights or train tickets, visas, vaccinations, non-refundable car parking fees, loss of earnings, or loss of enjoyment.

We recommend that you carefully review your travel insurance policy to ensure that you have adequate coverage for unforeseen expenses or disruptions.

Trekking and Tour Activities

Safety and Responsibility:

Our trekking and tour activities involve certain risks and challenges, including altitude sickness, physical exertion, and environmental hazards. You are responsible for assessing your own health and fitness, following our safety guidelines and instructions, and taking appropriate measures to protect yourself and others. We reserve the right to refuse participation or terminate your activity if we deem it unsafe or disruptive to the group.

Environmental and Cultural Conservation:

We are committed to promoting sustainable tourism practices and respecting local cultures and customs. You must adhere to our environmental and cultural guidelines, including proper waste disposal, conservation of natural resources, and respectful behavior towards locals and their traditions. We reserve the right to remove you from the activity if you violate these guidelines.

Liability and Indemnification:

You acknowledge that trekking and tour activities carry inherent risks and that we cannot guarantee your safety or prevent all accidents or incidents. You, therefore, assume full responsibility for your own safety and waive any claims against us, our guides, or our partners for any personal injury, property damage, or loss incurred during the activity. You also agree to indemnify and hold us harmless from any claims, damages, or expenses arising from your breach of these Terms or any third-party rights.

Passport and Visa

To travel with our company, it is essential that your passport is valid and has at least six months of validity remaining from the date you book your trip. If you need to obtain a Nepalese visa, you can visit the Nepalese embassy or consulate in your home country.

Some nationalities may be eligible for a Nepalese visa upon arrival at Tribhuvan International Airport in Kathmandu or other entry points in Nepal. We advise you to check whether this option is available for citizens of your country. It is the traveler's responsibility to obtain a valid visa.

When you book a trip with us, we require your accurate and valid passport information to make necessary bookings, such as permits and tickets, on your behalf. Providing us with correct information will help to streamline the process of obtaining government approvals.

If you submit incorrect or inaccurate information, we may not be able to make pre-bookings on your behalf, and we cannot be held responsible for any issues that may arise as a result. Therefore, we strongly advise you to double-check all information you provide to us to avoid any unnecessary complications during your trip.

Health & Fitness Requirements

Our outdoor activities in Nepal, such as hiking, trekking, climbing, rafting, and kayaking, require a reasonable level of physical and mental fitness. To ensure your safety and enjoyment, we encourage you to carefully read the trip itinerary and assess your ability to participate in each activity. We also recommend that you consult with your doctor before booking a trip to assess any potential medical issues that may affect your participation.

Our team of experienced guides will assess your fitness and health before the start of the trip to ensure that you are prepared for the activities. If we believe that your fitness or health is not sufficient to participate in the trip, we reserve the right to refuse your booking.

We want to provide an inclusive and safe environment for all of our guests. If you have any medical conditions or special needs that may require additional support, please let us know before booking the trip. We will do our best to accommodate your needs and suggest alternative activities if necessary.

Please note that our outdoor activities take place in remote regions with limited modern infrastructure and services. In the event of a serious medical emergency, we may need to arrange for air evacuation as a last resort.

For this reason, we strongly recommend that you purchase travel insurance that covers airlift and medical expenses. Travel insurance is not included in the cost of the trip, and the Company will not be responsible for providing it.

Travel Insurance

Participation in any of our adventure trips requires that you have valid travel insurance that covers any accidents, injuries, or illnesses that may occur during the trip. This insurance should also cover emergency evacuation, medical expenses, and repatriation.

If you do not have a travel insurance policy, we strongly advise you to obtain one before embarking on your journey. We can recommend reputable insurance providers and will be happy to help you select the most appropriate policy for your needs.

Please note that it is your responsibility to ensure that your insurance policy covers all of the activities included in your trip. If you engage in any activities that are not covered by your policy, you will be liable for any associated costs.

In addition, we strongly recommend that you take out insurance that covers any loss or damage to personal property, including equipment, as well as any trip cancellation or interruption. This will provide you with added peace of mind and protection in the event that unforeseen circumstances prevent you from completing your trip.

Please review your travel insurance policy carefully before departing to ensure that you are fully covered for all aspects of your trip. If you have any questions or concerns, please do not hesitate to contact us for assistance.

Child Policy

At our company, we believe that adventure is for everyone, including minors. We welcome children and young adults who are up for a challenge and have a passion for exploring the Himalayas.

However, we do have some specific requirements for minors who wish to participate in our outdoor activities. One of the requirements is that the minor must be accompanied by a parent or legal guardian throughout the trip. This guardian must have full responsibility for the minor's safety and well-being during the trek or expedition.

In addition to the guardian requirement, we also expect the minor to be physically fit and able to handle the challenges of the trip. We recommend that minors participate in some form of physical activity or training before the trip to ensure they are adequately prepared.

We understand that every child is unique, and we want to ensure that each child has a safe and enjoyable experience. Therefore, we reserve the right to assess each child's fitness level and may require additional medical clearance from a doctor before confirming their participation.

If you have any questions or concerns about our child policy or traveling with a minor, please don't hesitate to contact us. Our team is happy to provide additional information and support to ensure that you and your family have a safe and unforgettable adventure in the Himalayas.

Responsibility

Participating in outdoor activities, such as trekking, mountaineering, and climbing comes with inherent risks. The unpredictable nature of the Himalayas, including its weather, altitude, and remoteness, can present various dangers, such as rock falls, landslides, and avalanches. As a result, we cannot guarantee your 100% safety during your trip, and we are not responsible for any loss, damage, or injury that may occur.

It is important to recognize that traveling in the Himalayas involves certain inherent risks, and you must assume full responsibility for your safety and well-being. Before embarking on any outdoor activity, we strongly advise you to read and understand the risks associated with the trip, as well as the challenges that you may face.

We take all possible precautions to ensure the safety of our guests, including providing experienced guides, and high-quality equipment, and following proper safety protocols. However, we cannot 100% guarantee your safety or prevent accidents from occurring.

Therefore, we strongly advise you to purchase travel insurance that covers accidents, medical emergencies, and evacuation.

By booking a trip with us, you acknowledge that you are aware of the risks associated with travel in the Himalayas and that you assume full responsibility for your own safety and well-being. We encourage you to take all necessary precautions to minimize the risks associated with your trip

Use of Images and Videos

During your trip, we encourage you to take photos and videos to capture your experience. However, please note that the company reserves the right to reshare any images or videos taken by you and shared on your social media during the trip for publicity and promotional purposes, without providing compensation.

This may include, but is not limited to, social media, our website, brochures, and other marketing materials. By booking a trip with us, you agree to these terms.

We understand the importance of privacy and are committed to protecting your personal information. Please review our Privacy Policy for more information on how we collect, use, and protect your data. If you have any questions or concerns regarding the use of your images or videos, please do not hesitate to contact us.

Complaints

At our company, we strive to provide our guests with the best possible travel experience. If you have any complaints or issues during your trip, please inform our team leader immediately. They will take every measure to address the problem and ensure that you are comfortable and satisfied.

If you wish to provide additional feedback or complaints after your trip, you may contact our management team within 15 days of completing the trip. We will carefully consider your criticisms and work to improve our services. Your opinions are valuable to us, and we appreciate your input in helping us to enhance our guests' experience.

Intellectual Property

Ownership and Use: We own all rights, titles, and interests in and to our services, including our website, trademarks, logos, and content. You may not use, copy, reproduce, modify, distribute, or display any of our intellectual property without our prior written consent.

Feedback and Reviews: We welcome your feedback and reviews of our services, but we reserve the right to use and modify them for our own purposes without compensation or attribution to you.

General Provisions

Governing Law and Jurisdiction: These Terms shall be governed by and construed in accordance with the laws of Nepal. Any disputes arising from or related to these Terms shall be resolved exclusively by the courts of Nepal.

Severability and Waiver: If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect. Our failure to enforce any right or provision under these Terms shall not constitute a waiver of such right or provision.

Entire Agreement: These Terms and our Privacy Policy constitute the entire agreement between you and us (Nature Excursion) and supersede all prior or contemporaneous communications
